Privacy notice

Private casting information stays purpose-bound.

AuditionArc is operated by Cintara. This notice describes how the service handles personal information. Participating organizations may provide additional notices for projects they control.

Information we process

We process account and organization details, talent profiles, representation and availability information, project materials, submissions, invitation responses, audition media and consent, evaluations, client feedback, commercial records, messages, device and security data, and an audit history of important actions.

Why we process it

Information is used to provide the casting workflow, enforce permissions, deliver invitations, run and record authorized auditions, generate documents, track usage and renewals, secure the service, respond to support requests, and improve AuditionArc.

Who can see it

Access follows organization, project, and role permissions. Casting notes remain private from agencies and clients unless deliberately shared. Agencies cannot see competing submissions. Talent and guest links expose only the information required for that invitation. Infrastructure and communication providers process limited information on Cintara’s behalf.

Retention and security

Data is retained for the project and contractual period described in the customer agreement. Access-controlled storage, encrypted transport, short-lived links, audit records, backups, file validation, and recording-consent gates are used to reduce risk. No online system can guarantee absolute security.

Your choices

Users may request access, correction, export, or deletion through their organization or Cintara. Some commercial, security, and audit records may be retained where legally or contractually required. Transactional messages are tied to active casting activity; marketing permission is separate.

Public talent profiles

Talent profiles are private by default. A verified adult talent user may separately choose to submit an approved set of professional profile information for publication and optional directory discovery. Public profiles may include a professional name, biography, location, playing age, union status, skills, languages, credits, training, approved media, and representation. They do not include private contact information, accessibility information, agency notes, financial terms, contracts, or private activity. Consent can be withdrawn at any time, which removes the profile from public access and search.

We record aggregated profile views, media interactions, verified professional inquiries, moderation decisions, and abuse reports to operate and protect this feature. Public publication snapshots are retained as limited audit records after removal where needed for safety, dispute resolution, or legal compliance.

SMS Communications

If you opt in to SMS notifications, AuditionArc will send you transactional text messages such as audition confirmations, callback and booking reminders, schedule changes, and account alerts. Message frequency varies. Message and data rates may apply. Mobile phone numbers and SMS consent information are not shared with third parties or affiliates for marketing or promotional purposes. You can opt out at any time by replying STOP to any message. Reply HELP for assistance or email info@cintara.io.
